Setting Up a Corporate Charter Programme

Companies usually arrive at charter one trip at a time. At some point the bookings become frequent enough that treating each one as a fresh negotiation stops making sense.

One-off charter versus a standing arrangement

A one-off booking is priced on its own merits: this aircraft, this route, these dates. A standing arrangement changes the basis. The operator has visibility of recurring demand, which affects how they position aircraft and how they price. For the company, the gain is less in the headline rate than in speed and predictability, because the approval and booking process stops being rebuilt every time.

What a programme actually requires

Three things need settling. Who can authorise a flight and up to what value. What the standard aircraft profile is for your common routes, so each booking is not a fresh debate. And how invoicing and GST documentation should flow, which for most finance teams is the part that causes friction if it is left vague. Where the savings really come from

Rarely from a negotiated discount. They come from better aircraft matching, from fewer wasted positioning legs once your routes are known, and from consolidating trips that were previously booked separately by different people in the business. Companies that map their actual travel patterns before setting up a programme almost always find overlapping journeys that can be combined.

What does not change

Safety and operator standards should not flex because volume increased. Every aircraft should sit under a valid operator permit with the same maintenance and crew currency requirements as a one-off booking. If a proposal offers materially better pricing, it is reasonable to ask precisely what is different about the operator or aircraft producing it.
